Lockbox Payments

Lockbox Payments module is an axiUm+ module that allows your institution to make agreements with third-party Lockbox companies (e.g., Wells Fargo, Moneris, Converge, etc.) so that patients can make payments at their convenience. You can then receive batch payment files from the Lockbox company which users in axiUm will load (record) and process, automatically creating the patient payments in axiUm.

  • Customizable response format: Each payer in axiUm is set up separately to accommodate the varying types of response files received. This allows you control and flexibility when setting up payers in axiUm.
  • Banks and Payments codes: Each payer has a defined bank code, allowing for easy reporting. Additionally, the Lockbox module has a defined payment code, which helps identify Lockbox payments.
  • Lockbox Payments tab in the Claims window: A Lockbox Payments tab in the Claims window allows you to load, save, process, and report on received batched payment files.
  • Overnight Process: Once the payments have been processed in axiUm, the overnight process can auto-allocate the patient payments.
  • Error reporting: Any payments that cannot be processed will generate an exception report that you can review and action as required.

    • Notes:

    • The chart number of the patient is used to match the payment to the patient. If the chart number is not valid, the payment cannot be processed and will display on the exception report.
    • Payments added use the patient as the payer regardless of who made the actual payment.

The Lockbox module is accessed through the Claims module > Lockbox Payments tab.

You can open the Lockbox module using one of the following methods:

  • Nav Panel: Under Financials, click Claims or the () icon, then click the Lockbox Payments tab.
  • Menu bar: From the Actions menu, select Claims..., then click the Lockbox Payments tab.

The Lockbox Payments module is made up of an upper pane and a lower pane, all housed within the Lockbox Payments tab.

The upper pane contains a variety of search criteria fields and activity buttons.

Any payment files display in the lower pane.

You can run two custom reports from the Info Manager module > Billing tab that pull information from the Lockbox Payments module.

You use these reports the same as other Info Manager reports. You can customize, create, filter, save, and print or export them.

  • Lockbox Payments: Lists loaded and processed Lockbox payment information such as the Lockbox payer, date loaded, and date processed.

  • Lockbox Payment Details: Lists Lockbox payment information such as the Lockbox payer, date loaded, date processed, the patient name, and patient type.
